Fedena Enrollment and Applicants Module

Fedena is a student information system used by over 40,000 schools and colleges world wide. Enrollment is a basic function in any institution and they use it to get manage and track new students who wish to join the institution. Fedena initially had an applicant registration module that allowed new admissions at different grades. Enrollments were more complex as each institution needed had different configurations and requirements.

My Role: Product Manager and User Researcher

Problems:

  1. Admission were usually a two step process - The first step was an Enquiry and was followed by a detailed Registration process.

  2. The forms were different for each institution and grade and had to be configured for each school.

  3. The enquiry and registration process consisted of different steps which had to be configured as per the process for the school or district.

  4. Institutions wanted analytical reports on the admission process according to the academic year to measure the performance of different campaigns.

Approach and Outcome:

Applicant Registration

  1. Customizable Form: A basic form was provided with provision to add new custom fields and sections as required for each grade.

  2. Customizable States: Customizable states could be created in between the Pending and Allotted/Discarded states that allowed institutions to customize the flow of each form.

  3. Notifications: Email and SMS notifications could now be configured for applicants on submitting the form, being accepted to the course, being rejected or any custom state in between.

  4. Internal Form Management: Custom Office Fields were provided for the internal data to be gathered and maintained for each applicant.

  5. Preview and Submit: To prevent accidental submit with incorrect entries, a preview option is provided with each form.

  6. Other changes: Select number of guardians required, improved document submission option and Instructions for applicants are some of the other planned changes.

Inquiry Module

  1. New Module: A new inquiry module was created to handle pre-registration forms that prospective students filled out. This could be either online or offline through an admission agent.

  2. Customizable Form: The new enquiry module was customizable to allow institutions to add custom forms and states.

  3. Embeddable Form: The forms could be embedded within the school website easing the process of allowing institutions to have one unified process.
